Preparing for the conference
Oral Presentations
- Your presentation should be prepared in PPT (PowerPoint) format. You may use the templates provided, but it is not mandatory.
- However, for more detailed information on the expected length and structure of your presentation, you should read the information available online or contact the convenors of your WG.
- The organisers of the congress do not expect that you will submit any kind of additional text before the congress.
- You do not need to send your presentation in advance. However, arrive in the room designated for your session at least 15 minutes before the start of the session. Make sure, that your presentation is handed to the session convenor and tested on the computer connected to the projector before the session starts.

Poster Presentations
- Posters will be displayed on poster screens at the ESRS2025 venue (Central lobby, 16 Dzirciema iela).
- Each poster presenter should submit a 1-slide PowerPoint (PPT) for the use on the poster screens before 7 July.
- The completed PowerPoint file must be uploaded to the Exordo system. The instructions on how to do this will be sent to all poster presenters.
- Poster presentations are scheduled during the coffee and lunch breaks. The exact time for each presentation is indicated in the ESRS2025 programme.

Early Career Workshop
Where and when is the ESRS Early Career Workshop?
Please join us in Auditorium #1, RSU Central Building, 16 Dzirciema iela, Riga, Latvia at 9:30 on Monday July 7.
What do I need to do to prepare?
Send a photo of your research (anything research-related: methods, fieldwork, themes, etc) to emily[pnkts]duncanuregina[pnkts]ca or bring a printed photo yourself. This will be used during our Photovoice Workshop. Other than that, no prep necessary.
Can I (or someone I know) still come to the Early Career Summer Course despite not having indicated so in my registration?
Yes! You can still come.
Should I wait for additional confirmation that I am registered for the Course?
No, there will be no additional confirmation.
Is there an additional fee?
No, there is not an additional fee for the Early Career Workshop.
Will there be food?
Coffee will be provided on the breaks. Lunch is not included but there will be affordable options available for purchase.
What should I do if I have a question about my conference presentation or working group?
You should contact your Working Group Convenor directly.
What will we be doing in the Early Career Workshop?

Instructions for Session Moderators
Before the Session
- Review the programme: Familiarise yourself with the session's schedule, topics, and speaker details.
- Arrive early: Be at the session room at least 15–20 minutes before the session starts.
- Meet the speakers: Introduce yourself and confirm the pronunciation of their names and titles.
- Check the setup: Ensure that the projector, microphone, and any other technical equipment are working.
- Remind the speakers and the audience that for presentations and questions microphone should be used (hybrid event)
- Coordinate with staff: Inform the technical team of any special requirements for presentations.
Starting the Session
- Welcome the audience: Introduce yourself and provide a brief overview of the session.
- Introduce the speakers: Mention their name, affiliation, and topic in a concise manner.
- Set expectations: Announce session rules, including time limits, Q&A format, and mobile phone etiquette.
Managing the Session
- Inform speakers about the time limit before they start.
- Use time signals (e.g., cards or digital countdowns) to indicate remaining time.
- Politely enforce time limits to keep the session on schedule.
Facilitating Q&A
- Invite questions from the audience after each talk or at the end, depending on the format. Questions may be asked also via the virtual platform (coordinate these with the assistants)
- Encourage clear and concise questions.
- If needed, rephrase or summarise questions for clarity.
- Keep discussions relevant and within the allotted time.
Handling Technical Issues
- If a technical issue arises, stay calm and inform the technical staff immediately.
- If delays occur, adjust by shortening Q&A or break times.
Closing the Session
- Summarise key points: Offer a brief recap of the session’s highlights.
- Thank the speakers and audience: Acknowledge their contributions and participation.
- Announce the next steps: Mention upcoming sessions or breaks.
- Ensure a smooth transition: If another session follows, ensure a quick and organised transition.
